1. Identify the product and measurable specification
Name the product, paper colour and grade, and the intended food-contact use. Send a drawing or a photograph with measurements; a product photograph alone does not define size.
For air fryer liners, specify the shape and base dimensions in cm, including height. For baking sheets, give length × width in cm; for rolls, give width in cm and length in m.
For coffee filters, give the format and model, paper grade in gsm, and the brewer or holder dimensions. Basket model 200/80 means a 200 mm laid-flat diameter and an 80 mm base diameter; send measurements in mm rather than a cup-count description alone.
2. Separate pieces per pack from order quantity
State both the number of pieces in each pack and the number of packs required for each size and colour. If you work in total pieces, show that total separately. This keeps a retail pack count from being mistaken for the entire order.
No minimum order on stock sizes; custom sizes and printed packaging from 1,000 packs.
3. Define the packaging and private label artwork
For air fryer liners, choose an OPP bag, clamshell or printed colour box and state the pieces per pack. Clamshell branding uses an insert card or label; the clamshell body is not printed. Identify whether artwork is for the paper, an insert, a label or the outer packaging, and attach the relevant artwork or label requirements.
4. Give the destination and required arrival date
Include the destination country, city and postal code, the receiving location or warehouse, and your required arrival date. State your preferred quotation basis: EXW Weifang, FOB Qingdao or DDP for the US/EU. Production lead time and transport time are separate; an arrival date is not a production lead time.
Lead time around 10 days after deposit for stock sizes; custom items confirmed with the quotation.
Payment is by T/T, with a 30% deposit and 70% before shipment.
Samples from stock sizes are free; the buyer pays courier charges.
5. Request documents for the selected paper and market
State the intended market, food-contact conditions and the standard or test information your buyer requires. Match documents to the selected paper grade, colour and product scope, including the institution, date and submitted sample. A report for one paper grade is not automatically a report for every filter or packaging material.

Questions about preparing an RFQ
Which quantity should I put in the inquiry?

What if I have not chosen a size?
Send the intended use, equipment or container model, measured internal dimensions with units, and a reference photograph. Request a stock-size sample and check its fit before confirming the final order specification.
